Demo · Supplier PO Exception Workbench
Know which late purchase orders will stop your line, and close them out.
Recognize this? The status of one PO lives in six places.
Monday, Oct 5. Maya Ortiz buys machined parts for a mid-size manufacturer. She has 142 open POs. This is one of them.
Where PO 4512 lives this morning
- ERPPromise date Oct 12, confirmed in September
- Supplier email"Tooling issue on line 2. New date Oct 26." Only Maya has seen it.
- Open-PO sheetMaya's own list. Still says Oct 12.
- PlanningNeeds the housings by Oct 20 for an assembly run
- Sales ordersBrightline ships Oct 28, Keller Nov 2. Both depend on that run.
- PhoneLast week's call with the supplier. Nobody wrote it down.
What it takes Maya to piece it together
- 0:00Open the open-PO spreadsheet
- 0:04Search the inbox for "4512" and find the email in a long thread
- 0:11Check the ERP. Still Oct 12.
- 0:14Message planning: when do you need these?
- 0:14–0:38Wait for a reply
- 0:38Planning: "Oct 20"
- 0:45Work out which customer orders depend on it
45 minutes for one exception, and about 15 like it a week.
And it gets harder. On Oct 14 the supplier writes "working on recovery, will confirm Monday." It sounds like progress. There's still no date, and the need date is six days away.
Supplier PO Exception Workbench
Know which late purchase orders will stop your line, and close them out.
What it connects
- Buyer and supplier email
- ERP purchase orders and receipts
- Planning need dates
- Sales orders that depend on the parts
What closes an issue
- Firm date in writing
- ERP matches
- Customers on track
- Parts received
Why not a supplier portal?
A supplier portal works when suppliers use it. Most still reply by email, and a portal doesn't know which customer orders a late PO puts at risk. The workbench reads the replies you already get and works each PO through to receipt. Whether it also reads EDI acknowledgments and ship notices is agreed during setup.
